Cash Receipts by Payer Detailed Report

Detailed breakdown of payments showing every individual bill transaction. Use for comprehensive payment analysis, audit trails, and detailed reconciliation.

Report Criteria

Run Report By

  • Transaction Date (default) - Date the payment was entered by the user
  • Journal Date - System-generated transaction date

Date Range

  • Select a date range up to 2 years using the Extended Date Range Buttons
  • You can specify custom start and end dates

Site Code

  • All (default) - Includes all site codes
  • Select specific site codes to filter results

Sort Order

  • Payment Number (default) - Groups payments by payment number
  • Bill Number - Sorts individual bills numerically
  • Payer Name - Alphabetically sorts by payer
  • Patient Name - Alphabetically sorts by patient last name
  • Date - Chronologically sorts by transaction/journal date

Understanding the Report Output



The Details report displays data in two sections with expanded transaction information:

Section 1: Payments with Payment Numbers

Each payment group displays:

Group Header: Payment Number and Payer Name

Transaction Table showing:

  • Bill Number - The unique ambulance bill identifier
  • Patient Name - Last name, first name of the patient
  • Payer Name - Insurance company or payer type
  • Date - Transaction or journal date
  • Amount Paid - Payment amount for that specific bill

Group Subtotal - Total amount for all bills within that Payment Number/Payer combination

Multiple groups appear if there are multiple payment numbers or payers.

Section 2: Payments Without Payment Numbers

This section only appears when payments exist without associated payment numbers.

A comprehensive table listing every transaction:

  • Bill Number - The unique ambulance bill identifier
  • Payer - Insurance company or payer type
  • Patient Name - Last name, first name of the patient
  • Date - Transaction or journal date
  • Amount Paid - Payment amount for that specific bill

Subtotal - Shows the total amount for all payments without payment numbers.

Grand Total

The final row displays the combined total of all payments from both sections.

Tips for Best Results

  • Sort by Bill Number when looking for a specific bill's payment
  • Sort by Patient Name when researching patient account payments
  • Sort by Payment Number (default) to keep related payments grouped together
  • Use Transaction Date to see when payments were posted to the system
  • Use Journal Date to align with system-generated accounting dates
  • Export to Excel to perform additional calculations or filtering
  • Save commonly used criteria to quickly generate recurring reports
