Collections Report

The dual-purposed Collections Report serves either as a visual aid to view patient accounts needing to be sent to collections, or a tool to automatically send these claims to collections using the report's related setup screen.

Please note this report has a related Setup screen that is required to be configured in order to utilize the full functionality of this report and to maximize the efficiency of an agency's Collections workflow.

Prerequisite Information

The Collections report allows for users to view bills that are eligible to be sent to collections. The criteria for this report is configured in Collections Report Setup. Essentially, bills can be eligible to show on the Collections report if the Number of Days Old value exceeds the entered number of days, or the Number of Days Since Last Payment exceeds the entered number of days.

The Run Collections Report By dropdown allows users to confirm if they'd like the Collections report to run based on the date the bill was printed or transmitted, or the date of service (only recommended if the agency is caught-up to billing recent dates of service). The Post Bills to Collections dropdown must be sent to Yes in order for the report to automatically post the Sent to Collections transaction when the report is ran.

Sometimes bills might not be in a proper status to be sent to Collections. For example, bills might be on hold or a bill may still need to be printed. It is recommended to review the output of the Collections report to ensure that all bills were properly sent to Collections. Users can double-check this easily by cross-referencing the report with the Bills in Collections (Detailed) report, ran for the current date, following running the Collections report.

The Bills in Collections (Detailed) Queue is also the most accommodating report for providing the data to a collections agency, while the Collection report serves as a way to easily send bulk bills to a collections status using the aforementioned setting.

Standard Workflow

  1. Configure Collections Report Setup, as indicated above or through the associated help documentation.
  2. Run the Collections Report to post 'Send to Collections' transactions to all eligible bills. These bills will be updated to a Sent to Collections status.
  3. Run the Bills in Collections (Detailed) Queue and export it to excel with any necessary changes.
  4. Provide the Bills in Collections (Detailed) Queue in excel format to the collections agency.

Running the Collections Report

Now that the purpose of the Collections report as a way to send many bills to collections easily has been established, running the report is simple but has many options for customization.

This report can be ran without a date range if desired by checking the 'Run report without a date range' option. Otherwise, enter a date of service range.

Optionally, check any of these buttons to enable relevant settings:

  • Include Timed Payment Accounts: Accounts on a timed payment plan do not show up on this report by default. Enable this option to display them. 
  • Add Patient Date of Birth column: Adds a column on the report output for the patients' date of birth, even if not using the Queue option for this report. 
  • Include Subscribers?: Enable to include subscribers, who also do not appear on the report output by default.
