Dispatch Call Data Entry: Scene Information Tab
The Dispatch Call Scene Tab documents scene-level information including responder arrival times, number of patients, and other responding agencies present at the scene.
Scene Information
Initial Responder Arrival - Optional (eScene.01)
- Date/time when the first EMS or public safety responder arrived on scene
- May differ from your unit's arrival time if another agency arrived first
- Important for documenting overall response timeline
- Used to track total response time from call receipt to first responder on scene
Number of Patients - Recommended (eScene.02)
- The number of patients at the scene
- Options:
- Multiple - More than one patient
- None - No patient found on scene
- Single - One patient
- Helps determine resource needs and documentation requirements
Sending Facility Medical Record Number - Optional
- The medical record number from the sending facility
- Used for interfacility transfers
- Helps link dispatch records with facility patient records
- Important for continuity of care documentation
Other Responders
Document all other responding agencies or personnel present at the scene. Multiple responders can be added. This information is important for coordinated responses, reporting, and documenting chain of custody and care transfer.
Name - Optional (eScene.04)
- Name of the other responding agency or service
- Examples: "City Fire Department", "State Police", "ABC Ambulance Service"
ID Number - Optional (eScene.05)
- Identification number for the other responding unit
- Examples: Unit number, badge number, apparatus number
Type of Service - Optional (eScene.06)
- The type of service provided by the other responder
- Options:
- EMS
- Mutual Aid
- Fire
- First Responder
- Hazmat
- Law
- Other
- Other EMS Agency
- Other Health Care Provider
- Rescue
- Utilities
First Other EMS or Public Safety Agency at Scene - Optional (eScene.07)
- Indicates whether this other agency was the first EMS or public safety agency on scene
- Options: No, Yes
- Use to identify which agency arrived first when multiple agencies respond
- Important for coordinating care and documenting who initiated patient contact
Usage Notes
Initial Responder Arrival:
- This time may be different from your unit's arrival time
- Use this field when another agency (fire, law enforcement, other EMS) arrived before your unit
- Helps establish complete timeline of emergency response
Number of Patients:
- Always document number of patients, even if "None" (no patient found)
- "None" is used for canceled calls or when patient was not located
- "Multiple" triggers mass casualty protocols and additional documentation
Other Responders:
- Document all agencies present at the scene
- Include fire, law enforcement, other EMS agencies, rescue teams, etc.
- Use "First Other EMS or Public Safety Agency at Scene" to identify who arrived first
- Multiple responder entries can be added using the add button
Interfacility Transfers:
- Use "Sending Facility Medical Record Number" for transfers between healthcare facilities
- This links the dispatch record to the patient's record at the sending facility
- Helps receiving facility identify the patient and access prior records
Multi-Agency Coordination:
- Documenting other responders helps establish scene command structure
- Important for mass casualty incidents and complex scenes
- Provides complete picture of resources deployed to the scene
