Patient Care Data Entry: Documentation Page > Other Tab

The Other Tab is an important part of the PCR, containing fields for reporting purposes, the QA process, profile changes, file attachments and more.

There are only three sections in the Patient Care Report's Other Tab, but each of these sections contain important fields:

Other Information Section

Quality Assurance Requested: The Quality Assurance Requested field allows for the user of the PCR to flag their report for a QA Review once that PCR is completed. If 'Yes' is selected for this field, the PCR will move to an In Review status once the report is completed.

Changing the Quality Assurance Requested field to 'Yes' will move the PCR back into the In Review status even if it had already been reviewed previously, or if it had never been reviewed at all. It is the fastest way to initiate a QA Review of a PCR, but if the PCR is incomplete, it will not move to the In Review status until the PCR is finished.

Report Completed by: This field automatically populates once the PCR is created with the creator of the PCR.

Registry Patient: Indication if the patient may meet the entry criteria for an injury or illness-specific registry.

Disaster: Indication if the event was caused by natural forces or suspected and intentional/unintentional disasters.

Site Code: This field is a report filter that can be used in all three AIM modules (Dispatch, ePCR, and Billing). If the Site Code is entered for a record, that same site code will transition to the next module as the record moves through the integrated workflow.

  • Site Codes are created in Patient Care Setup > Quick Picks Setup
  • Site Code filters are present on the majority of the reports throughout all AIM modules.
  • Site Codes are used to track specific data points not captured elsewhere in the record. Some examples for site codes could be:
    • Differentiation of private pay and insurance transports
    • Origination of event (township/municipality)
    • Locality (local service area vs long distance)

Profile: This field shows the current profile of the ePCR. It can be used to change the profile if needed. Example: Transport begins as an Emergency profile, but becomes canceled on the way to the scene. The profile would need to be changed from Emergency to Cancel in this example.

Changing a PCR's profile causes the following actions to occur:

  1. The system will prompt 'Are you sure?' select yes.
  2. All data in the ePCR will remain, with some exceptions:
    1. If any fields that are entered with data are configured to be Hidden on the new profile, those fields will be cleared.
    2. If a default value exists in Field Configuration Setup for that Hidden field, its default value will be applied. Otherwise, the field will be blank when it is hidden in order to prevent errors from potentially contradicting information.
  3. The page will reload, then it will re-validate the PCR under the new profile's requirements. Once the page is fully reloaded, the new requirements will be shown.

Attachments Section

The attachments section allows for file attachments to be added to the patient care report. If using AIM Dispatch as well, a link to any file attachments on the associated dispatch call will be available as shown below.

Type: Select a type of file attachment. This will be displayed on the outside of the record to note what type of attachment this is.

Include With Fax: Check this box to include the attachment file on the AutoFax feature.

Camera Button: When using a mobile device, using the Camera Button will activate the device's camera. This allows you to take a picture to attach the image directly to the PCR.

Note: Attachments added via the Camera Button are not saved locally to the device to protect patient health information.

Attached Files Section: Click the box with the Cloud icon to browse your computer for a file to attach, or drag a file to this box to attach it. Only files 5mb or less can be attached.

Comments Section: Add comments to the text box to display on the outside of the attachment record once saved. It is very helpful to the billing department if a description of the attachment is detailed in this comments box if the Attachment Type field does not clearly describe the attached file.

Added By / Uploaded Date / Last Modified Date: All three of these fields are automatically populated based on the data entry in the Attachments section.

Crew Exposure Section

This section allows for the crew's protective equipment and potential exposures to be recorded.

Crew Name/ID: This is an auto-complete field which allows for each crew member to be selected. Please note that each record in this section is specific to a single crew member.

Protective Equipment: Select all PPE used by that crew member during the encounter.

Suspected Exposure: Select Yes/No to confirm if there was any suspected exposure to that crew member.

Type of Suspected Exposure: Detail any exposure if the crew member was in fact exposed to something during the encounter.

Note: Setting the Crew Exposure Section to Default First Item in Field Configuration Setup will allow this section to automatically complete itself using any default values whenever a new PCR is created while the user creating the PCR is configured on a Shift Assignment
