Privacy Tracking

Maintain compliance with Health Insurance Portability and Accountability Act rules, regulations, and guidelines.

This feature provides additional fields and functions to various modules, with the goal of improving organization, tracking, and storage of data required by HIPAA.

The Health Insurance Portability and Accountability Act of 1996 (HIPAA) established new privacy standards guidelines and regulations for covered entities to protect Patient Healthcare Information (PHI).

HIPAA provides guidelines for the protection of PHI and in what situations that protected information can be disclosed. It is expected that all Healthcare Services and Providers are compliant with these new regulations past April 14, 2003.

It is the sole responsibility of the Ambulance Service, and not the Software Vendor, to address the issues of privacy, the recording of privacy-related requests, and other HIPAA-related concerns.

Accounts/Subscription Module

Privacy Tracking is found in the Account Members Tab of the Accounts Module|. This is often the main access to the module, since the data is stored at the account level.

Billing Module

Privacy Tracking is found in the Supplemental Tabof both the Billing and ePCR Modules, and can be entered when working on a specific Trip Number.

Note: Privacy Tracking is at an account level, not at the Trip Number level. In the ePCR Module, the Trip Number must be verified and not entered as No Patient; In these situations, Privacy Tracking is not available.

Other Tab

This tab provides for additional user-defined information in regards to tracking/handling PHI.

Type

This Quick pick field allows for a new type of data to be tracked.

Date

A date field, showing when the new type is acted upon.

Completed

A date field, showing when the new type is completed.

Notes

Acts as a Narrative for this tab, containing free-form text up to 50 characters.

Call Log

This tab tracks and records calls on the account, and is related to privacy, but not necessarily covered by Privacy Rules and Regulations.

Call Type

This Quick pick shows what kind of call is made.

Caller

This Quick pick identifies the caller (biller, patient).

Call Duration

This free-form field shows how long the call is. There is no automation of this field.

Hint: Use the date/time reference to determine the call length when completed.

Date/Time

This date field shows when the call is made.

Hint: Hit Enter to populate the current date/time at the beginning of the call.

Call Details

This is a free-form field showing entered details on the call.
