6.0.100 Billing Release Notes
Billing Release Scheduled for 2/14/24 at 7:00AM EST
NOTICE: Release will take place from 7AM- 7:15AM, the application will not be accessible during the update.
It is recommended after each release; users clear their browser cache. This can be done by using the F12 key on your keyboard, right-clicking on the browser refresh button and selecting "Empty Cache and Hard Reload".
This document explains functionality updates to the AIM Online V6 Billing application. For additional information, please contact Customer Support at 1-800-726-4362 or support@aim-system.com.
Report/Queue Updates
- When running Queue reports, AIM will now retain your search criteria parameters if you use the Back Button once the Queue loads. This will allow users to quickly update and re-run the report after making search criteria changes such as adjusting the date range, filter settings, or column selections.
- New filter option added to Billing Reports > Status Reports Category > Incomplete Bills Report/Queue: “Set Incomplete Status Equals”. The new ‘Set Incomplete Status Equals’ filter allows for the report to now provide data on which bills have been forced-into an Incomplete status with the ‘Set Incomplete Status’ checkbox.
- The options for the report filter are as follows:
- If ‘Set Incomplete Status Equals’ is equal to “True or False”, the report will run as it normally does. This is the default option. The report will return results on both bills that are incomplete due to missing required data entry as well as bills that are forced-into an Incomplete status with the ‘Set Incomplete Status’ checkbox.
- If ‘Set Incomplete Status Equals’ is equal to “True”, the report will return results only where the bills were forced-into an Incomplete status by a biller selecting the ‘Set Incomplete Status’ checkbox.
- If ‘Set Incomplete Status Equals’ is equal to “False”, the report will return results only where bills are missing required data entry – no bills that were forced-into an Incomplete status will be returned as results.
- The options for the report filter are as follows:
- Quick Pick Setup Report for the Billing Remarks Quick Pick option now returns the correct data.
- Accounts/Subscriptions Reports > Financial/Basic Reports will now return the correct data when the Calendar is used to enter their date criteria.
- The Dashboard Reports > Billing Receivables Forecasting report description has been updated to: “Helps with forecasting what payment amounts are to be expected by the end of an accounting period, within the specified date of service range. An Ending Transaction Date may also be included, if applicable.”
- Posting Column added to Administrative Reports > Biller Productivity Reports.

- This new column now shows how many postings occurred within a specified time frame for certain users or all. This factors manual postings as well as batch postings or automatic postings made via the Reconciliation process.
- This provides an indication to how much time is being spent on postings, separate from just viewing the bill or making other updates.

- All reports within the Mailing Label Reports category of the Accounts/Subscription Reports portal now contain an option to remove the Patient Account Number from the label.

- Please note that the new checkbox ‘Include Patient Account Number’ must be disabled in order to prevent the Patient Account Number from printing on the label. This checkbox is enabled by default for all Mailing Label reports.

Setup Updates
- Warning Letter Text will now appear on printed warning letters in the same casing as the Warning Letter Text within Billing Setup > Statements/Aging Setup.
- When users who have enabled ‘User Specific Form Definitions’ make updates to the settings within Billing Setup > Form Definitions Setup, those properties will become highlighted to indicate they have been changed from the default settings.
- When searching for a diagnosis code in the Diagnoses Tab of the Billing module, ICD-10 code searches will now correctly organize codes correctly within the specificity hierarchy if the code contains multiple letters.
- New Quick Pick Fields have been added to Quick Pick Setup!
- Reason for Stretcher
- Additional Narrative
- Icons have been added next to each of these fields when entering bills so users can easily set up common reasons for stretcher or additional narratives for quicker data entry.
Accounts/Subscription Updates
- When adding a new account directly-into the Accounts Module, the subscriber status will now correctly update once the dues history data is entered if that new account is a subscriber.
- Support has been added for entry of foreign patients residing in the countries of Germany, India, and Australia.
- Customers converted from older versions of AIM Billing who are using Supplemental fields will now find those fields are reflected in the correct alphanumerical order in the Accounts/Subscription Module.
- If a Subscriber Type is defaulted in Accounts/Subscription Setup > Field Configuration Setup, the description (not the code) will now display in the field when a new subscriber is added to the Accounts/Subscription Module.
Billing Updates
- Postings will now be tracked for bills under the More Options > Bill History
- This includes manual postings as well as batch postings or automatic postings made via the Reconciliation process.
- This provides an audit trail showing who was posting and when on a specific bill.
- When using the Reconciliation feature to process a payment file containing a bill rejection, details about that rejection’s check number and date will now be included in the Electronic Payments section of the Narrative Tab.
- When processing a payment file in the Process Reconciliation feature while using the Process With Options function, users will now be prompted to select a MBI/Policy Number if an automatic crossover is detected and the crossover payer does not already have an MBI/Policy Number for that payer in the Accounts/Subscription Module > Members Tab > Member Payers section.
- When using the Process Reconciliation feature’s Process With Options function, if an automatic crossover is detected and a new payer is added to the bill, the crossover payer will now indicate ‘AUTO CROSSOVER’ in the payers grid for that bill as well as in the Accounts/Sub Module > Members Tab > Member Payers section to indicate this is an automatic crossover payer.
Improvements
- When adding any HCFA 1500 payer to a bill, the Event Information Tab’s Lab Charges field will now automatically populate with $0.00 on the printed form, even if the Event Information Tab is not viewed.
- The Calculate button in the Batch Transactions grid now shows the correct Amount to Post.
- Enhancements to how electronically-submitted workman’s compensation claims are handled have been made for specific payers.
- Xfinity Wireless has been added as a mobile carrier for use with the authentication code process when logging into AIM.
- AIM will now provide an indication on the Import Error Log for bills that could not be imported due to containing multiple or duplicate base and/or mileage rate charges.
