6.0.97 Billing Release Notes

Billing Release Scheduled for 11/15/23 at 7:00AM EST

NOTICE:  Release will take place from 7AM- 7:15AM, the application will not be accessible during the update.

It is recommended after each release; users clear their browser cache.  This can be done by using the F12 key on your keyboard, right-clicking on the browser refresh button and selecting "Empty Cache and Hard Reload".

This document explains functionality updates to the AIM Online V6 Billing application. For additional information, please contact Customer Support at 1-800-726-4362 or support@aim-system.com.

Report/Queue Updates

  1. Billing Statistics Report added to Dashboard Reports. This provides standard billing statistics for those managing billing operations and is a way to verify that common billing workflows are followed, and backlogs are being worked timely.
  2. Current Rejected Bills” Report/Queue added to Status Reports.
  3. Queues have been updated to sort groupings with the highest/lowest number of occurrences when a column is 'Grouped By'.
  4. A new field called “Account Subtotal with a value higher than” has been added to the Pending Bills and Pending Bills (Landscape) report criteria screen. When a value is entered, the report results will only be displayed for bills based off the entered amount and higher.

Setup Updates

  1. Tab Order added to General Setup. Allows user to define what order the data entry tabs in the Billing Module will display.
  2. Billing, Field Configuration Setup updated with the ability to default ‘Signature Provided On’ date for Bill Payer and Bill Payer HCFA 1500 forms when the ‘Signature Provided’ field is defaulted as “Yes”.

Account/Subscriptions Updates

  1. A “Previous Account” button has been added to menu bar. When selected, it will navigate to the account viewed by the user prior to the current account.

Billing Updates

  1. Process Reconciliation Payer Mailbox and Payer Type action updated to sort in alphabetical order.
  2. New Jersey MC12 Form image added to the ‘Print with Form Image’ prompt.
  3. “Remarks” field added to New Jersey MC12 Form.
  4. When saving a bill, the Confirm Information/Update prompt now allows a user the ability to indicate the appropriate action for each occurrence in a single prompt.
  5. Router tab updated with a “Mark Urgent” option for each route. When selected, the route will display in the assigned user’s router box as the first route with a red text color.

Improvements

  1. Billable Items on the Charges tab updated to no longer allow a selection of anything other than what is available in the drop-down, created from Billable Items & Procedure Codes Setup.
  2. Add Transaction logic for both Billing and Account Modules updated to:
    1. No longer allow posting of a Contractual Allowance Adjustment amount greater than the amount of a Contractual Allowance posted for the current payer.
    2. No longer allow the posting of a Refund amount greater than the amount of Payments posted for the current payer.
    3. No longer allow the posting of an Undo Rebill when the amount billed for the current payer equals the balance of the bill and Cash, Contractual Allowance, Bad Debt and Late amounts equal zero dollars.
  3. Yes/No prompts within the application updated to no longer automatically select an option.
  4. Pending Bills, Active Timed Payment Accounts Report/Queue corrected to no longer give an error when filtering on the ‘Last Payment Date’ field.
  5. Third party PCR import files updated to use Field Configuration Setup for Site Code and Relationship to Insured fields.
