6.0.122 Billing Release Notes

Billing Release Scheduled for 9/16/25 at 9:00 PM EST

NOTICE:  Release will take place from 9 PM - 9:30 PM, the application will not be accessible during the update.

It is recommended after each release; users clear their browser cache.  This can be done by using the F12 key on your keyboard, right-clicking on the browser refresh button and selecting "Empty Cache and Hard Reload".

This document explains functionality updates to the AIM Online V6 Billing application. For additional information, please contact Customer Support at 1-800-726-4362 or support@aim-system.com.

New Features & Enhancements

Setup

  1. Added Import Settings Section to General Configuration Settings Setup.
    • New section contains configurable alerts for manual/automated import processes:
      • Minimum Number of Bills Alert - Sends daily email when bill imports fall below specified threshold (excludes weekends)
      • Days Since Last Import Alert - Sends daily email when no imports occur for X days
      • Email Recipients - Configure alert recipients (separate multiple emails with semicolons)
      • All alerts sent at 8 PM EST when triggered
  2. Billable items are now sorted in alphanumeric order by code in Billable Items & Procedure Codes Setup.
  3. Enhanced Crew Setup import to fall back on the ID number in the EMS Personnel's State Licensure ID Number (dPersonnel.23) when the EMS Personnel's Agency ID Number (dPersonnel.21) is not recorded in the demographic .xml file.
  4. Added warning to Agency Information Setup when electronic claims addresses are saved without a +4 zip code.
  5. Added new setting to Billing Configuration Settings Setup: Remove Alpha Characters From Bill Numbers.
    • When enabled, alpha characters are automatically removed from trip numbers during import.

Billing

  1. Revamped error logging of imported bills:
    • Added two new options to the Utilities (wrench) button in the Landing Page under "Error Logs":
      • Automatic Import Error Log: shows errors logged through the automated import process in a streamlined format, containing a summary of the last 24 hours of imported bills at the bottom
      • Manual Import Error Log: shows errors logged through the manual import process (same as the existing import error log)
    • Both new error logs can be viewed and/or reset from the Utilities dropdown
    • The existing Import Error Log now only contains data on bills imported manually moving forward
  2. Added Automated Import Error Grid to Landing Page.
    • This grid appears only when using the Automated Import
    • Grid contains details about recent fatal errors received since the last time the new Automatic Import Error Log was reset
  3. Enhanced import handling for bills with spaces in trip numbers - spaces are now truncated and the bill is allowed to import. Example: "123 45A" will now import as "12345A".
  4. Enhanced Bill Summary to indicate automatic import, date/time of import, and vendor.
  5. Updated Source of Pay handling for workmans comp payers to mitigate claim rejections.
  6. Added pop up message when entering a future date of service to mitigate claim denials.
  7. Increased max length of Receipt Number field in the transaction screen by 5 characters.
  8. Added transmission warnings for missing primary insurance data when submitting electronic secondary claims for select alpha customers. These were previously added for Medicare secondary claims but are now active for all electronic payer types:
    • Insurance Indicator
    • Insurance Name
    • Commercial Electronic ID
    • Insurance Number
    • Relationship to Insured
    • Source of Pay
    • Assign/Not Assign
    • Insurance Type Code
  9. Increased the MBI/Policy Number field character limit from 20 to 50 characters.
  10. Improved EOB Hyperlink performance in the Payment Number column of the Transaction Screen - links on older bills now open quicker.
  11. Enhanced Billable Items sorting - now sorted alphanumerically by code and properly aligned in the Code dropdown of the Charges Tab.
  12. Added support for file attachments with 5-digit file extensions in the billing module.
  13. Fixed Reconciliation File report header to show the correct date (check date).
  14. Enhanced Payment Adjustment (AP) transaction postings to allow use of Payment Number and Payment Type fields.

General Improvements

  1. Removed "AIM Online" from the title of web browser tabs to make it easily discernible which agency you are logged into when many tabs are open.
  2. Added additional logging for troubleshooting issues and future reporting.
  3. Improved Invalid MBI/Policy Number pop up to only trigger when the user clicks the Save button in the Edit Payer screen (previously triggered incorrectly in some circumstances).
  4. Improved handling of saving data when editing both a bill and an account - to prevent accidental data loss, the Call Log cannot be edited while both the account and bill are in edit mode. Call Log updates must take place while only one of the bill or account is in edit mode.

Bug Fixes

Billing

  1. Fixed issue where if a recon payment was posted successfully but an error was received, the system was not posting the electronic remittance info to the Narrative Tab.
  2. Prevented clearing of data when switching search criteria in the Verify Existing Patient or Select A New One screen of an imported bill when changing search parameters.
  3. Fixed exception error that sometimes occurred when attempting to add the Provider Actions by Date Report to the Report/Queue Scheduler.
  4. Corrected problem where importing a bill containing ePatient.25 (Patient Sex) was sometimes causing the Patient Gender field to be blank.
  5. Resolved issues with scheduled queues where sometimes additional filter options appeared as duplicated in the saved criteria.
  6. Fixed the "Are you Sure?" prompt in the EOB Line/Claim Level screens to only trigger if the user is in edit mode and changes were actually made.
  7. Fixed issue where the Commercial Electronic ID of the Primary Payer was not correctly populating to the Supplemental Insurance Information Section of a Secondary Electronic Payer when using the Pull Primary Payer Data button.
