6.0.118 Billing Release Notes

Billing Release Scheduled for 6/4/25 at 7:00AM EST

NOTICE:  Release will take place from 7AM- 7:30AM, the application will not be accessible during the update.

It is recommended after each release; users clear their browser cache.  This can be done by using the F12 key on your keyboard, right-clicking on the browser refresh button and selecting "Empty Cache and Hard Reload".

This document explains functionality updates to the AIM Online V6 Billing application. For additional information, please contact Customer Support at 1-800-726-4362 or support@aim-system.com.

 

Report/Queue Updates

  1. Updated Scheduled Report and Queue password requirements for security purposes.
    1. Existing scheduled Reports/Queues will require a password update the next time the scheduled series’ Scheduling Options are updated.
    2. Newly-scheduled Reports/Queues will require a password that meets at least three out of four of these requirements:
      1. English uppercase characters (A through Z)
      2. English lowercase characters (a through z)
      3. Base 10 digits (0 through 9)
      4. Non-alphabetic characters (for example, !, $, #, %, Spaces also count)
  2. Updated the Action Scheduled by Date report and queue to optionally provide data on closed routes instead of only open routes.
    1. “Show Closed Routes” option added to Report and Queue criteria screens. When enabled, this will include routes that were closed over the date range of the Report or Queue.
    2. Closed Date column added to Report and Queue output.
  3. Corrected the Mileage Quantity column when used on queues to prevent the system from incorrectly rounding fractional mileage.
  4. Resolved an issue where sometimes an error would be received when attempting to access the Reports Module.
  5. Resolved an error that sometimes occurred when attempting to run the Billing Receivables by Month Dashboard Report.

Setup Updates

  1. Added an option to Form Definitions Setup to allow for the ICD descriptions on the following form types to be disabled/hidden:
    1. Blank Paper (Com)
    2. Blank Paper (Pat)
    3. Invoice (Pat)
    4. Invoice (Com)
  2. Payer-Specific Configurations section added to Commercial Payers Setup.
    1. Provides payer-specific settings for use with particular commercial payers.
    2. Added Auto-Round Mileage setting that prompts users to round fractional mileage when the configured payer is detected on a bill.
  3. Payer-Specific Configurations section also added to Electronic Transmissions Setup, alongside Auto-Round Mileage setting for select payer types.
  4. An Effective Range column has been added to the Billable Items/Procedure Codes Setup grid.
  5. An option for enabling the Round Trip Checkbox has been added to Profiles Setup.
  6. Resolved issues when defaulting a taxonomy code for a profile.
  7. Picked Up and Taken To Location Name fields in Profiles Setup's Transport Page now auto-complete as you type, automatically populating associated address fields when selected.

Accounts/Subscription Updates

  1. Corrected the Past Date prompt in the Transaction screen to only occur in the correct circumstances.

Billing Updates

  1. Schedule Dates are now required for the Router Tab.
  2. Billers will now be able to easily see which reports include rejections in the Connect to Retrieve Reports screen - a red exclamation mark will now display next to the file name.
  3. Text not yet appended to the narrative will no longer be cleared when a profile is applied.
  4. Electronic Secondary Payer Information efficiency improvements:
    1. Added a warning to alert users if the Date of EOB field is left blank or if a future date is entered.
    2. Relationship to Insured, Source of Pay, and Assign/Non Assign now automatically sync from primary payer or can be pulled manually using the "Pull Primary Payer Data" button.
  5. Fixed Duplicate Account Member Payer prompt compatibility with older insurance payers.
  6. Users attempting to edit the same bill in multiple tabs will receive a warning to refresh the screen if they save in one tab and attempt to edit/save in another.
  7. Fixed profile display issue in dropdown when carrying last trip from bills with previously applied profiles.
  8. Resolved missing Diagnosis Pointers when using profiles with ICD 10 code default values.
  9. Fixed errors occurring when using the Undo Transaction button.
  10. Removed Edit EOB's button from Charges Tab due to occasional incorrect information display. Secondary Claim EOB data can still be entered in the Electronic Secondary Payer's Supplemental Insurance Information section.

Improvements

  1. Several features added for tracking crew performance on ePCRs using the Router Tab:
    1. Enhanced Router Tab with Action Type functionality.
      • Added Action Type field with "Biller" as default (no behavioral changes when selected).
      • "Provider" Action Type option changes Action and Sub Action dropdown options.
      • Provider-type Actions cannot be customized but can use the new Sub Action Provider quick pick for routing purposes.
    2. New "Sub Action – Provider" quick pick added. 
      1. The list of options for this quick pick appears when Action Type is set to Provider in the Router Tab and is used specifically for routing bills back to providers.
    3. Crew Setup added.
      1. Added Crew Setup role permission (enabled by default for Admins and Billers).
      2. Allows mapping of Crew IDs (typically EMS License Numbers) to Names for use with the new Crew Member Completing Report field.
      3. Supports import from agency Demographic XML files for automatic crew member mapping. Contact your ePCR vendor's Support Department for information on obtaining these files.
    4. Changes to Billing Module's Other Tab:
      • Renamed "Vehicle Information From ePCR" section to "Patient Care Report Details."
      • Added Crew Who Completed Report field.
        • Displays EMS License Number by default, can be mapped to crew member names via Crew Setup.
    5. New Admin report/queue added for tracking Provider-type Action routes: Provider Actions by Date
  2. Improved SMS verification code delivery performance during AIM login - enhanced delivery time and overall performance when sending verification codes via text.
  3. Added support for NEMSIS Critical Patch element ePatient.25 in bill imports.
    1. Bills imported without the ePatient.25 element will continue to assign Patient Gender using the existing Gender field.
  4. Improved messaging when users try to access accounts that have been removed from User Maintenance Setup.
  5. Optimized AIM Intelligence Predictive Patient Lookup import performance.
  6. Improved Router Box scroll position persistence.
    1. Maintains relative scroll bar positioning when navigating between bills or switching between accounts/subscription and billing modules.
