Dispatch and ePCR Release Notes
This document explains functionality updates to the AIM Online Dispatch and ePCR application. For additional information, please contact Customer Support at 1-800-726-4362 or support@aim-system.com.
Release: 3.0.95 Date: April 2026
Dispatch Notifications: Migrated to Twilio SMS
- Dispatch Notifications now use Twilio SMS, replacing the previous email-to-SMS gateway system. This resolves reliability issues caused by carriers discontinuing email-to-text services and notifications being flagged as spam.
- The Carrier dropdown has been removed from Personnel Setup, Vehicle Setup, and Agency Setup (Call Sign section). Carrier selection is no longer required.
- The Image Message notification type has been removed. Any existing records set to Image Message have been automatically switched to Text Message.
- An SMS consent checkbox has been added to Personnel Setup, Vehicle Setup, and Agency Setup (Call Sign section). Existing records with a phone number or notification type already configured have this checkbox enabled by default. Users without this checkbox enabled will not receive SMS notifications from AIM Dispatch. Consent is not required to use other features.

- A read-only Text Message Opt-Out Status field (Yes/No) has been added to User Maintenance Setup in the Authentication section. This reflects whether a user has opted out of text messages by replying STOP.
Bug Fixes
- Updated the password expiration countdown to display "Password expires today" on the final day instead of "0 days remaining."
- Resolved a validation issue for Illinois customers referencing the EMS System Number. This error will no longer trigger when a valid EMS System Number is recorded in Agency Setup.

Report/Queue Updates

Justification for Transfer or Encounter added as a standard column option in Patient Care Report queues.
Setup Updates
- Billing SFTP Configuration section added to General Setup > Agency Setup for customers using AIM ePCR with a third-party billing service. This allows completed ePCR data to be automatically exported to a custom SFTP address, eliminating the need for manual batch exports.
- Treatment/Protocols List Setup added to General Setup.
- New permission "Treatment/Protocols List Setup" added to Roles Setup > General Permissions. Enabled by default for Administrator role only.
- Procedures Tab allows administrators to select which state-permitted procedures the agency performs and view which certification levels can perform each procedure.
- Medications Tab allows administrators to select which state-permitted medications the agency uses and view which certification levels can administer each medication.
- Protocols Tab allows administrators to select which state-permitted protocols the agency uses.
- New template field options added to Patient Care Setup > Narrative Templates Setup.
- Primary Impression and How Patient Was Moved to Ambulance added as template fields.
- Supplementals template field added. When applied on a PCR, the tag populates all documented supplemental field data into the narrative automatically on a new line.
- Demographic XML export in General Setup is now restricted to RAM Admin users only and has been removed from Role Setup permissions.
- Quick Navigation Order Setup and Incident Flag Setup permissions added to Roles Setup. Enabled by default for Administrator, Patient Care Manager, and Patient Care Supervisor roles.
- The following Setup screens now automatically refresh the grid when changing their respective dropdowns. The refresh button has been removed from each screen, helper text has been added, and an unsaved changes warning will now display when switching with unsaved changes:

Dispatch Updates
- Estimated Body Weight (lbs) and Estimated Body Weight (kg) fields added to the Specialty Care section of the New Record screen. Entering a value in either field automatically calculates and populates the other. Fields trigger the Patient Weight notification if exceeding the limit set in Dispatch Configuration Switches Setup.
ePCR Updates
- Procedure, Medication, and Protocol dropdowns on PCRs now filter based on Treatment/Protocols List Setup and the active user's certification level, showing only the options the user is authorized to perform or administer.
- On the Disposition Tab, when Type of Destination is selected as "Hospital-Non-Emergency Department Bed," the Hospital In-Patient Destination field is now visually highlighted to indicate it requires documentation. A tooltip displays "Required for non-ED hospital transports" on mouseover, and the highlight clears once the field is completed.
- Validation Messages section added to the Review Tab, positioned above the Activity Log, for context while reports are undergoing a QA Review.
- If the PCR was sent to the state, validation warnings from the most recent submission attempt are displayed.
- If the PCR was sent to the state with no validation warnings, a "PCR validated successfully" message is displayed.
- If the PCR was not sent to the state, a message indicating it has not yet been submitted is displayed.
- Justification for Transfer or Encounter and Reason for Interfacility Transfer/Medical Transport fields added to the Incident Information section of the Patient Care Hard Copy Report.
- Facility Hard Copy Report updated to align with the latest Patient Care Hard Copy Report standards. Changes apply to both fax and email delivery methods through AutoFax.
Improvements
- Password Expiration Countdown Notification added. Starting 10 days before password expiration, users will be prompted after login with the option to change their password immediately or dismiss until next login.
- After a successful password change during the login process, users now proceed directly into the application instead of being redirected back to the login screen.
Bug Fixes
- Resolved an issue where Activity Times on the Vitals, Procedures, and Medications Tabs displayed in AM/PM format instead of military time (24-hour format).
- Resolved an issue where the Ending Odometer filter was missing or duplicated in certain Dispatch/PCR Report queues.
- Resolved an issue where Call and PCR numbers were not generated when the Incident Number configuration was set to Manual.
- Resolved an issue where certain date/time queue columns were not displaying correctly.
- Resolved an issue introduced in V3.0.93 where signature data was lost during QA review workflows. When crews captured a representative signature and selected a "Not Signed" status, the signature box was hidden. If QA later corrected the status, the previously captured signature was wiped. The signature box hiding behavior has been removed while the validation bypass logic remains intact.

Entering a Phone Number Extension for a facility in Setup allows the extension to show in a new read-only field beside that facility in the Picked Up or Taken To Location Sections of Dispatch Calls.

E-mail fields in User Maintenance, Personnel, Vehicle, Agency, and Incident Flag Setups now validate e-mail formats upon entry to verify that the e-mail is properly formatted. SMS Gateways are no longer supported.
Dispatch Updates

Phone Number Extension field added next to the Picked Up or Taken To Location Phone Number fields in the Incident Tab, Quick Intake Page, and the New Record screen when creating new Dispatch Calls after using Create Button.

This field will be hidden in the Incident Tab and Quick Intake Page if the Phone Number field itself is hidden in Field Configuration Setup for a given profile.

ePCR Updates

Hard Copy With Attachments Report - Hard Copy With Attachments Report will now automatically compile image attachments into the Hard Copy .pdf file.

Signature Pin Security - Signature pins in the Signature Tab will now be censored when they are being entered for security purposes.

Patient Signature Requirements - Patient Signature is no longer required to complete the PCR when the patient signature status indicates the patient did not sign.
Improvements

PCR Management Metrics - Incomplete ePCR Notification and Expiring Certification Notification e-mail functions are now disabled and removed from the system. These notifications are replaced by new PCR Management Metrics:

New grid added to Dashboard showing top 5 oldest patient care reports for management users.

New section added to Dashboard to indicate a user's expiring certifications, licensures, and more.

Notification Email Improvements - Notifications sent from AIM now are sent from notifications@aim-system.com instead of noreply@aim-system.com in order to improve delivery rates and avoid getting sent to spam.

Billing Post Protection - Improved posting process to AIM Billing to prevent users from attempting two Finish actions on one record in order to eliminate duplicate bill creation.
- Two-factor authentication now properly populates user information email during initial setup.

Setup Updates
- Agency Tab removed from Field Configuration Setup in Dispatch/Patient Care Setup.
- New Patient Care Role Permissions added to Roles Setup:
- Create Return Trip - Enabled by default for any role that can create patient care reports. Disabling this permission prevents users from using the Return Trip function.
- Remove From Queue - Enabled by default for any role that can create patient care reports. Disabling this permission prevents users from removing calls in the From Dispatch Call Queue.
- Transport locations can now be defaulted for a given profile using Location Name fields in Field Configuration Setup:
- Dispatch Field Configuration Setup > Incident Tab > Picked Up/Taken To Location Name fields
- Patient Care Field Configuration Setup > Scene Tab > Picked Up Location Name field
- Patient Care Field Configuration Setup > Disposition Tab > Taken To Location Name field

Dispatch Updates
- Site Code and Vehicle Dispatch Location fields added to Dispatch Scheduled Calls templates.
- Add Patient function in the Dispatch Call Queue now automatically copies the Date of Service and all date/time intervals to the newly-created call.
ePCR Updates
- Quality Assurance Workflow improved: PCRs in "In Review" status now properly send to state and/or post to Billing when "Complete QA" or "Complete QA with Feedback" is clicked, even if the PCR was previously held due to QA requirements that have since been disabled in Configuration Switches Setup.
- Chronological View feature now highlights date/time fields identified as out of sequence, making it easier to understand date/time sequence validation issues.
- Event Timeline section added to the Vitals, Procedures, and Medications Tabs:
- Shows At Patient, Left Scene, and Patient at Destination date/times
- Provides contextual timeline of events when recording vital signs, procedures, or medication administrations
Improvements
- User Maintenance Enhancements:
- Two-Factor Authentication now required during login for enhanced security
- New Authentication section added to User Maintenance Setup to support two-factor authentication and user onboarding.
- Added Cell Phone Number and Email fields for two-factor authentication configuration
- NOTE: Users on AIM Remote Link will not be required to use 2FA. Two-factor authentication is only required when logging into Command.
- NOTE: Any update to a user's maintenance record will immediately expire their "Remember this Device" status and requires reauthentication on next login
- Send Welcome Email functionality sends new users a secure link to create their password and configure two-factor authentication (links expire after 10 days)
- Emails can be scheduled for future delivery at 2:00 AM or sent immediately
- Resend Email button allows administrators to send welcome emails on demand
- User passwords now expire every 90 days.
- User passwords now cannot be changed to one of the two previously used passwords.
- Two-Factor Authentication now required during login for enhanced security
- Login documentation added to sign-in screen.
- Enhanced state/national validation rules process for states transitioning to NEMSIS Critical Patch 5 and 6 on different timetables. Users will experience improved validation processes when completing ePCRs.
Bug Fixes
- Queue errors that sometimes occurred after adding additional columns have been resolved.
- Resolved an issue where some queues did not properly enable all columns by default.
- Response Time Reports and Queues in Dispatch and Patient Care Reporting Modules now correctly display the Response Time column header and column.
- Queues in Dispatch and Patient Care Reporting Modules no longer show column headers out of alignment when scrolling down after opening the queue.
- Carry From Previous Trips button in the Specialty Care Tab of the Dispatch Call now works correctly.
- Resolved an issue where some PCRs completed on Remote Link while connected to the internet sent the incorrect trip number to the state.
- Current Week date range button now populates correct date ranges in the Dispatch and Patient Care Reporting Modules.
- Report Completed By field in the Other Tab of the patient care report no longer loses data when a Site Code is entered.

Improvements

- AIM Integration: Bills from AIM ePCR now auto-populate Insured Information in Billing Information Tab after posting when "Self" is the default relationship value in Billing Field Configuration Setup (for AIM ePCR + Billing customers only)

Report Updates
- Resolved an issue where the Audits Report Queue was displaying incorrect dates/times.
Improvements
- Added new "Sex" field to Dispatch and ePCR for select states based on regulatory requirements. The Gender field will be disabled in affected states according to individual state timelines.
- AIM will complete a one-time auto-population for existing patients' sex data.
- Moving forward, the Sex field must be completed in place of the pre-existing Gender field, which will eventually be phased out in affected states.

- Hard Copy Reports updated to correctly indicate when Social Security Numbers were unable to be completed.

ePCR
- New option added to Patient Care Setup > Configuration Switches Setup: Require All Crew Signatures. If enabled, all crew will be required to sign the PCR in order to complete the report.
- Resolved issues for Georgia customers experiencing validation issues referencing possible stroke. A Possible Stroke Overall field has been added to the Situation Tab – on PCRs where validation referencing possible stroke are received, answering this question will resolve them.
- Special characters will now be properly handled when posting narrative data to AIM Billing.
- Improved the rounding logic of the Estimated Body Weight field.
- Invalid Medical Conditions/Previous Surgeries values removed.

- Message Center feature added.
- Access via bell icon in top-right in all screens except PCRs and Dispatch Calls

ePCR
- When an ePCR posts to AIM Billing, if one or both of that report’s locations did not have a location code configured in Setup, the system will now complete the Address Type field on the bill and correctly assign a modifier.
- Expanded Signature Tab Field Configuration Options
- New Default First Item settings for all sections:
- Crew section: Automatically generates records upon PCR creation, integrating Shift Assignment data when configured
- Patient/Representative and Facility sections: Generates initial record when PCR is created
- Other section: Creates records automatically, including Shift Assignment integration when configured
- Added ability to set default Signature Agreements per section
- Introduced required "Signature" field validation to enforce a signature for PCR completion
- New Default First Item settings for all sections:
- Resolved an issue for customers in Virginia where the patient care hard copy report was not being automatically sent to the state alongside the PCR when ‘Exclude Attachments From State Export’ was enabled. The hard copy report will be sent automatically, even if this setting is enabled, moving forward.
Improvements
- Resolved an issue where defaulting a value for a multi-select field in Field Configuration Setup for both Dispatch and ePCR caused multiple rows for the same field to appear.
- Dispatch and ePCR report “Hard Copy with PDF Attachments” has become the “Hard Copy With Attachments” report:
- This hard copy downloads as a .zip file, containing all file attachments added to the patient care report.
- Any .pdf file type attachments will be automatically appended to the Hard Copy report, just like the Hard Copy with PDF Attachments report did.
- If an attached .pdf file is corrupt or invalid, that file will not be appended to the Hard Copy report but will still be available in the .zip file download.
- Resolved an issue in the User Maintenance Audit screen where some date/time stamps were incorrect for certain time zones.

ePCR
- “Ignore Validation Warnings,” a configuration setting that allows users to complete ePCRs while validation warnings exist, has been moved from Patient Care Setup > Configuration Switches Setup to Profiles Setup.
- Ignore Validation Warnings is now a setting that is profile-specific.
- Users with access to Profile Setup can configure each profile individually to determine if ePCRs of that profile can have their validation warnings skipped or not.
- Agencies who previously had this setting enabled will now find it is enabled for all profiles.
- Agencies who previously had this setting disabled will now find it is disabled for all profiles.
- Default value capability added to the Patient Care Setup > Field Configuration Setup > Cardiac Tab > Result field.
- Corrected issues where some vitals were unable to be attached to the ePCR through the Cardiac Monitor Integration feature.
- Resolved a problem where values did not display properly in Tier lists.
- Resolved a problem where certain Practice Certification Levels would not be able to be selected in Personnel Setup.
- Corrected issues where following a NEMSIS 3.5 update, the Type of Service Field sometimes appeared blank on ePCRs created/finished prior to that update.
- Resolved a problem where in some cases the User Maintenance Audit reminder’s Continue button would not navigate the user to User Maintenance Setup.
Dispatch
- Resolved a problem where in some cases the date/times from an associated ePCR would not sync back to the appropriate Dispatch Call if that Dispatch Call if there was a previously-deleted Dispatch Call with the same trip number.

ePCR
- Cardiac Monitor Integration for ZOLL series monitors added.
- This includes automatic population of Vitals and related file attachments to ePCRs in AIM.

- The Chronological View option now contains all date/time intervals, even ones added in NEMSIS 3.5, as well as a Help Guide icon explaining its use.
Dispatch
- In the Calendar’s Month view, users can once again select the numeric day within a given week to drill-down to the Week View for that week.

- Dispatch Reason Report now contains all options within the Dispatch Reason filter.
- Medication Review Report now contains all options in the Prior to EMS Care filter.
- Dispatch Log by Date Range now contains all options in the Dispatch Reason filter.
- Destination Review Report now contains all options within the Pre-Arrival Alert filter.
- Other Responders Report now contains all options within the Transport Method and Type of Service filters.
- The Response Time Reports now contain all options within the Transport Method and Type of Service filters.
- Trip Statistic Log report now contains all options within the Type of Service filter.
- Crew Exposure / Protective Equipment Log report now contains all options within the Protective Equipment and Suspected Exposure filters.
- Incident Type by Time of Dispatch report now displays all data accurately.

Setup
- A new field has been added to Patient Care Setup > Review Workflow Setup: Pre Arrival Alert/Activation (Locations Page > Disposition Tab > Destination Team Pre-Arrival Alert/Activations Section).
Report Updates
- The ePCR Reports Module > Status Reports > Injury Details Report will now display correctly for customers on NEMSIS 3.5.
- The ePCR Reports Module > Statistic Reports > Trip Statistics Log Queue will now properly filter for specific patients.
Dispatch
- When looking up an existing patient account on the Quick Intake Page, the patient address section will correctly populate the patient’s address moving forward.
- Updated the Calendar record display to include Unit Number and Call Sign without having to mouseover the record to see.
ePCR
- The Hard Copy Report will now correctly display the CMS Service Level in the Incident Information section.
- Facility Users will now be prevented from using the Return Trip function unless the ‘Add’ permission is enabled for the Facility User Role in General Setup > Roles Setup.
- The Blood Glucose field will now be properly copied to a new record if using the Vitals Tab’s Duplicate Button on NEMSIS 3.5.
- Resolved an issue where Crew Certification Levels would sometimes not correctly populate on ePCRs after transitioning to NEMSIS version 3.5.
- Corrected a problem where some Procedures were not showing in the Tier List for NEMSIS 3.5 customers.
- Updated the description of the Documentation Page > Other Tab > Attachment Section > Patient Refusal Sheet Attachment Type field to “Patient Refusal / Non-Transport Sheet”.
- The following corrections were applied to AIM Remote Link:
- The Scene Tab > Location Type field will now contain all available options from command.
- The Hard Copy report now contains the same content as the Hard Copy report on command.
- When changing the profile on a patient care report, the system will now automatically address questions that will become hidden on the new profile in order to prevent errors:
- If a field contains a value, and the same field is now hidden on the new profile, the data for that field will be cleared in order to prevent potentially contradicting information from existing on that PCR while the underlying field is hidden.
- A default value (such as Not Applicable for example) will be applied if one is configured for that field in Patient Care Setup > Field Configuration Setup after the data is cleared for the newly-hidden field. If a default value does not exist for that field, then the field will simply be cleared before it is hidden.

- Fixed the Return Trip function in Dispatch and ePCR so that when copying-over data to the Return Trip, the Picked Up Location Type field is no longer included.

- In order to send notifications via the Call Sign assigned to a unit, it is required that the Agency Setup > Call Sign section be completed with Notification Information on the Call Sign records that you’d like to set up notifications for.
- Users must also make sure the Dispatch Setup > Configuration Switches Setup > Notifications field is set to either ‘Notify Unit using Call Sign’ or ‘Notify Unit using All Setup’ for notifications to be sent via the Call Sign assigned to a unit.

- ThePage/Tab Menu positioned across the top of the PCR record is now positioned on the left side of a PCR record.
- A newQuick Navigation Menu replaces the Quick Buttons Menu on the right of a PCR record, allowing for more menu options to be visible. A new setup option is also available for the Quick Navigation Menu, enabling for custom Quick Navigation Menu workflows (tab ordering).

ePCR Module Updates
- Exam Tab finding locations for Shoulder, Hip, Leg, Knee, Ankle, and Foot have been updated.
- IL ePCR Agency Setup has been updated to include a field for EMS System Number.
- A new option was added to Roles, Patient Care section under General Setup to Force Carry. If enabled, users will only be able to “Carry Last”, provided that there was a previous PCR, in the From Dispatch Call Queue.
- Current Medications and Medications Given searches have been updated to show single Medication listings and search by “starts with” instead of “contains” for better results.
- A Next button has been added to the bottom of each tab of the PCR to allow users to navigate to the next page/section.
- If'Require QA Review of Corrections before QA Complete' setting is enabled in the Configuration Switches, then when the crew member 'Finishes' a PCR that was 'Returned for Corrections, the PCR will change back to a Review status.
Dispatch Module Updates
- The ability to map Dispatch Profiles to ePCR Profiles has been added to the Dispatch Profiles setup section.

Fixes
- The auto-save error associated with any Android operating system when using the ’24’ in a time field has been corrected.
- The mileage carrying without Configuration in ePCR has been corrected.
- The From Dispatch Call Queue has been corrected to carry any information from the last patient’s record when “Carry Last” is selected.
- The Loaded Miles value on the Odometer Reading has been corrected to be the same value used on the Charges Tab for the Miles field.

Dispatch Module Updates
- The Crew/Unit Information on the Response Tab will now show the originally assigned Unit to the call after it is Finished, even if the Shift Assignments are altered.
- When a user edits and then finishes a PCR from the Dispatch Call Queue, that record will automatically be removed from the queue.
ePCR Module Updates
- A Setup option has been added to Configuration Switch’s, under the Other Options section, that will give users the ability to Edit the Original Narrative of a PCR.
- The Addendum Section has been enhanced to allow the user to choose what type of Addendum they would like to create to a Narrative. Addendum, Amendment or Correction.
- A report has been added to the PCR Analysis Reports for Response Time. This report will measure the Response Time that is calculated by user defined time fields.
- The Auto Fax Hard Copy feature has been enhanced to allow PDF Attachments within the PCR to be able to be sent with it as well.
- When an ePCR comes from the Dispatch Module and there is a Specialty Care entry, the system has been enhanced to allow that information to post to the Notes section of the ePCR as well as place an Alert Icon in the From Dispatch Call Queue.

- The Crew Daily Schedule Report for Dispatch has been updated to have the header repeat on each page as well as the crew members names assigned to reflect beside the vehicle number.

- State level validations are no longer required for Profile Types that are setup to not get sent to the state.

- The Announcements feature has been updated to give the user the ability to require that the message be Acknowledged. It will also give a date/time stamp of when it was completed and the ability to print the list of Acknowledgments from the Announcements setup screen.

- The Glasgow Score Total and Revised Trauma Scores were corrected to not calculate or populate data when a Pertinent Negative is used.
- The ePCR Hard Copy has been fixed to keep Social Security Numbers that start with a zero as entered, without dropping the zero off.

- An Extended Search option was added to the Medication Fields. If the needed medication is not available there is now an option to send a request directly to AIM Support to add a medication to the list.

- The Date of Birth calculation will automatically calculate the Age and Age Unit fields for years, months and days old. If a patient is younger that one day the Age and Age Unit values will need to be manually entered by the user.

- Incorrect times were populating for certain fields on iPads.

- The ePCR Audit Log was not sorting correctly. This also caused the Last Updater field to display incorrectly.
- The audit order has been updated. The Audit Log now appears in order. The Last Updater field is now displaying the most recent information.
- When a PCR was created in Remote Link without an internet connection the Created By field did not sync to the command.
- The Created by Field is now syncing to the command for Remote Link Trips created without an internet connection.
- The Dispatch and ePCR password reset was not accepting new passwords.

- When a user runs the Transport Locations report with a Category filter the report returned was blank.
- This report has been fixed.
- Some AIM reports (Transport Locations and Calls by Date of Service) listed the crew members by First Name, Last Name instead of Last Name, First Name.
- This has been fixed. These reports now display by Last Name, First Name.
- Wilkes-Barre (zip code 18711) was missing from the address City fields for PA users.

- South Carolina ePCR users were receiving a validation error related to eExam.20 on many of their PCRs, forcing users to reselect the Not Value for the EMD preformed field on the Dispatch Tab.

- When the Dispatch Portal Schedule Alert section is filtered by date range and a call is scheduled, the filter returns to the current date range instead of maintaining the filtered date range they entered.

- When a call is scheduled from the schedule alerts, the Pickup field's call time value is one hour ahead of the Pickup time that was entered in the Dispatch's schedule alert.
- The Pickup field call time now matches the scheduled pickup time.
- On the Dispatch Portal, Schedule Alerts section. The user adjusts the Schedule Alerts DOS range to a future date. When the user schedules the call from this future DOS list, the DOS value is entered incorrectly. Instead of using the Pickup date of the scheduled call, it populates the current date as the DOS.

- The Sent to State Report now includes a Batch Export option. Batch Exported trips are noted in the reason column by the label "Batch Exported".
